Frequently
Asked Questions
Why should I use a collection/billing service?
The use of a quality third party collection/billing
service provides the client the following
benefits:
Reduced overhead
Increased cash flow
Increased production
Minimizes future bad debt problems
Maximizes profitability
Can I add the collection fees to the debt
amount I submit?
A. We cannot give you legal advice. However,
it is our understanding that you can charge
the collection fees to a debtor if you have
a signed contract with the debtor stating
such. If you are uncertain, we suggest you
seek legal advice.
Can I see
my account online?
Yes, you can access your account through
your web browser.
My contract allows for collection cost why
does the fee matter?
The debtor is more likely to pay a lower
collection fee. If a settlement has been
arranged it's usually a higher amount. This
all attributes to more money for our clients.
How do I assign accounts?
XPERT Collection Agency can list
accounts in a variety of ways via:
Mail
Fax
Electronic Media (Tape and Diskette)
Internet (Web Site Transfer)
How long will it take for you to collect
my money?
Not all claims are collectible as some debtors
may skip, file bankruptcy, become deceased
or just refuse to pay. The age of the debt
also plays a part in how long it may take
to collect. If the debt is old and/or the
debtor requires backup paperwork. This can
prolong any collections.
Do you take cases to court?
Yes, but only with our clients authorization.
There are additional fees for pursuing a
law suit that are usually advanced by our
client. These fees are reimbursed once a
judgment is received and the debt is collected
through wage garnishments, bank levy or asset
sale.
After court judgments do you pursue avenues
to get levies on bank accounts/property etc.,
or can you find out this information so we
can attach any assets?
Yes, we can do an asset search and find
out if they own property, vehicles, have
savings and/or checking accounts and also
make sure they have employment where assets
can be attached and wages garnished if necessary.
What is "skip
tracing"?
Skip tracing is the process of locating
contact information on your debtor, such
as a current
or alternate address and telephone number,
and can include obtaining a person's place
of employment, names and addresses of family
members, friends, or ex-spouses, locating
assets such as property, bank accounts, or
automobiles, finding relatives' telephone
numbers, and much more.
What experience
does XPERT Collection Agency have in
skip tracing and debt collection?
The founders of XPERT Collection
Agency have more than 15 years of successful
debt
collection and agency management experience.
We know how to motivate your debtors to pay
you. Our skip tracing track record is a remarkable
85% "find" rate on developing good
contact information on your debtors, with
our powerful collection service assisting
our clients to recover their unpaid receivables
within 30 to 90 days from assignment.
What is the usual approach that other collection
agencies use?
With many collection agencies, you
simply get a "one-size-fits-all" collection
approach to your debtor that most often yields
very poor results. Typically, collection
agencies will simply mail a series of generic "fill-in-the-blank" collection
letters to your debtor's last known address.
A staff of low-paid and inexperienced "telemarketers" are
used to contact your debtors through a computerized
auto-dialer. These agencies will NOT customize
their letters to your debtor, will NOT spend
any time or money on skip tracing (unless
the account balance is very high), will NOT
go so far as to locate family members, assets,
business affiliations, etc., will NOT invest
in informational sources or databases, and
will NOT give all your accounts the time
and effort deserved.
How can I determine how my current collection
agency is performing?
We ask that if you are currently
using the services of a collection agency,
compile
a list of the accounts they have not recovered
in the past 6 months and let XPERT Collection
Agency work on those "un collectable" accounts.
Let us show you just how "collectable" they
really are! If we recover from those debtors,
than you should seriously consider assigning
all your accounts to XPERT Collection Agency.
When do I get my money once it is collected?
Any money's collected on behalf
of clients is remitted on the 15th of the
following month that recovery was made.
What documents are needed to collect
on the account?
XPERT
Collection Agency needs the following
documents: (If Available) Ledger history or itemized statement
Patient/Consumer registration or application
Contract, promissory note or agreement
I'm
interested in placing my collections with
you, but your website only allows one placement
at a time for submission. Is there any
way I could send you a LIST of all the
collections to make for my company?
Yes, you can send them in Excel,
Word, Wordperfect, pdf or any other program.
Attach
them to an email to email@xpertcollections.com.
You can also mail to the address on the
contact page or fax copies of invoices
to (801) 365-9409.
Do you have any requirements for us?
The most important requirement we have
is that you report to us if a debtor pays
you directly. It is illegal for us to try
to continue to collect once they have paid
either you or us. Once you place the account
with us, you must stop all in-house collection
activity, do not send out monthly statements
or continue to add any interest.
WHY USE A LETTER SERVICE?
COST EFFECTIVE - Reduces your collection
costs dramatically.
SPEEDS UP CASH FLOW - Get paid quickly,
which speeds up Your Cash Flow. EASY - Start immediately via fax, mail,
phone or email.
Use the online submission form.
The fee for this service is $4.00
for each letter sent, a total of 2 letters.
If the account is paid before the 30 days
there is no additional fee. Once the account
transfers to a collection accounts after
the 30 day period, regular collection rates
apply.
What
is your Process for collection?
Once you place an account with us, we
send an initial collection letter to
the debtor letting them know the account
has been placed with us, who the creditor
is (you) and how much is owed. By law
we must also let them know that they
have 30 days to dispute the debt or request
verification. We wait a few days to be
sure they have received this letter,
and then we begin to call them. We cannot
demand payment in full or report the
debt to the credit bureaus within this
30-day period. We make 2-3 calls and
send out 2 letters in this time frame.
After 30 days, if there has not been
a payment or response, we send a demand
for payment and a notice that the debt
will be reported if payment or arrangements
are not made within 5 days. Phone calls
become more frequent and are also made
in the evenings and on weekends.
Does the age of the debt make it more
difficult to collect?
Yes, the older a debt the harder it is
to collect.
What info would you need from me in order
to get started?
Your company name, address, fax, phone,
and email.
The debtor's contact information, name,
address, any contact phone numbers, email
etc.
Total amount owed and when it was due.
